Course Administrator to work in our Merseyside Head Office

Job Purpose

We are looking for a bubbly, confident and experienced course administrator to work in our busy training team at our Birkenhead head office site.

As part of the role you will be responsible for the booking and liaising direct with customers and trainers from all over Europe, and will be assigned many customers as a key account liaison manager.

Hours

We are flexible with the hours for this post and would consider both full time hours and part time hours depending on the candidate.

This job is to cover maternity and is a contract for 9 months.

Overview of Responsibilities

Event Admin

  • Respond to internal enquiries
  • Issue booking forms and information on the availability/status of the course
  • Create, track and chase outstanding booking forms
  • Check room availability if necessary
  • Book rooms and refreshments
  • Book trainers
  • Liaise with customers and trainers re pre event info: lunch arrangements, parking arrangements, location details, manuals and files
  • Help with the setup of courses taking place in the local area/our training room
  • Track and monitor the progress of course materials being sent
  • Book catering if necessary
  • Maintain and evaluate feedback forms and registers
  • Work with the Sales and Marketing team to schedule course dates and events

General Office Administration:

  • Recycling/shredding
  • Take inbound phone calls when required
  • Filing
  • Travel arrangements
  • Writing letters and sending out brochures
  • Invoicing
  • Tracking and chasing payments
  • Maintaining company Database

Experience / Skills

  • Good verbal and written Communication skills with the ability to communicate with people from all levels
  • Friendly, Confident and Adaptable
  • Excellent knowledge, understanding and experience of Customer service
  • Highly motivated, methodical and well organised
  • Able to work on own initiative
  • Able to adapt to change
  • Experience of customer/account management
  • Forward thinking and able to solve problems on own initiative
  • Excellent IT skills, especially Microsoft Office
  • Interest in Sales and Marketing
